calcommand — Privacy Policy

calcommand ("we", "us", "the service") is a household calendar assistant delivered over WhatsApp. This policy explains what personal data we collect, how we use it, who we share it with, and the choices you have.

1. Data we collect

• WhatsApp identifiers and messages. Your WhatsApp phone number and the content of the messages, images, and button taps you send to the service.
• Google Calendar data. With your authorisation via Google Sign-In, we read and write events on the calendar you connect — event titles, times, locations, descriptions, and attendees — so the assistant can show, add, and update them.
• Household information you provide. The names, roles, and relationships of household members (including children), their school year groups, activity and preference tags, and household settings such as timezone and locale.
• School subscriptions. The schools a household chooses to receive event information from, and the resulting matches used to decide which events are relevant.
• Technical and log data. Operational logs (timestamps, message and delivery status, error traces) needed to run and debug the service.

2. How we use your data

• To operate the assistant: interpret your messages, read and modify your connected calendar, and reply over WhatsApp.
• To compose daily briefs and surface relevant school events for your household.
• To maintain your household roster and preferences so responses are personalised.
• To secure, maintain, debug, and improve the reliability of the service.

3. Google user data — Limited Use

Specifically: we access Google Calendar data only to provide and improve user-facing features of the assistant; we do not use Google user data for advertising; we do not sell Google user data; and we do not transfer it to third parties except as necessary to provide or improve the service, to comply with applicable law, or as part of a merger or acquisition with appropriate notice. Humans do not read your Google Calendar data except with your explicit consent, where necessary for security or to comply with applicable law, or where the data has been aggregated and anonymised.

4. AI processing

To understand your messages and compose replies, message content and the household context needed to answer are processed by a third-party large language model provider (Anthropic). This processing happens only to generate the assistant's responses and manage your calendar; it is not used to train third-party models.

5. Who we share data with

We do not sell your personal data. We share data only with service providers:

• Meta Platforms (WhatsApp Business Platform) — to send and receive your messages.
• Google — to read and write your connected calendar.
• Anthropic — to process message content and generate responses (see §4).
• Google Cloud Platform — hosting and data storage.

6. Children's data

calcommand is used by adults (parents and guardians) and is not directed to children. Where a household includes information about children — such as a child's name or school year group — that information is provided by the adult account holder, who is responsible for having the authority to provide it. We use it solely to determine which household and school events are relevant.

7. Data retention

We retain your data for as long as your account is active and as needed to provide the service. Conversation context and household records are kept to maintain continuity; logs are retained for a limited period for operational and security purposes. When you delete your account, we delete or anonymise associated personal data within a reasonable period, except where retention is required by law.

8. Your choices and rights

• Revoke calendar access at any time from your Google account permissions.
• Delete your data by messaging the assistant or emailing us (below); we will remove your household records, connected-calendar tokens, and conversation history.
• Access or correct the information we hold about you by contacting us.

9. Security

We use industry-standard measures to protect your data, including encryption in transit, access controls, and secret management for credentials. No method of transmission or storage is perfectly secure, but we work to protect your information.

10. International transfers

Your data may be processed in countries other than where you live. Where it is, we rely on appropriate safeguards for any such transfers.

11. Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the effective date above and, where appropriate, notifying you over WhatsApp.
